Administrative Assistant/Coordinator (ancillary team)MVN Associates — Glasgow G3 8EPApply NowAncillary Coordinators (Ancillary Team) - Job DescriptionJob Purpose:-To prepare drainage and water reports using various mapping sources and water authority information in order to answer set questions and prepare a plan showing pipe locations for a specific property or boundary.To assist the team, where necessary, with the administration of ancillary reports from third party suppliers including ordering, updating and queries from both customers and suppliers in order to assist in the conveyancing process.To ensure quality and accuracy are present in all information obtained by means of attention to detail and quality control. To provide a good customer service to all clients.Reporting to the Team Manager for work issues, holidays and sickness leave.Main Tasks:-· Checking daily client orders for Drainage and Water reports to find out if results are available within in house data base or if a Request will have to be sent to a Personal Search Agent to make an appointment with a Water Authority Office to extract the results.· Preparation of Drainage and Water reports using in house database and results returned from Personal Search Agents. * Working to complete a target number per day of Drainage and Water Reports, keeping to Team KPI’s and Responsible for ensuring your deadlines are met; * Corresponding with Personal Search Agents on the return of information, if having to chase or query results. * Ordering a number of ancillary reports using various methods such as internet, e-mail, telephone and letter. * Up-dating CMS to note what stage the reports are currently at; * Dealing with problematic addresses that cannot be ordered through the standard process; sorting maps, phoning clients for confirmation or more information etc. * Dealing with queries from customers, suppliers and colleagues by phone, e-mail and letter. * Working on own initiative with complete responsibility for any work completed by you. * To be flexible and respond accordingly to any tasks required to meet demands of business; * Other Tasks:- Building product knowledge of other reports to allow cover to be provided at all times.Please note due to covid, the job will initially be working from home.
